From Your First Message to the Last Drop-Off

Booking the minibus should be the easy part of the holiday. Here is what happens, step by step, and what is useful to have to hand.

Step one: tell us the plan

Send the date or dates, the number travelling, the hotel or address where the day begins, and the places you hope to reach. A rough order is plenty; if you are unsure how far apart things are, ask, and we will suggest a comfortable shape for the day. Mention luggage, children's ages and any mobility needs.

Step two: your quote

We pass your plan to a partner operator with a suitable vehicle free. The quote names the vehicle and its seats, the start and finish times, the route and what is included, such as city bus permits, parking and motorway tolls. Most Italian motorways are tolled and many cities charge tourist buses to enter, so it helps to see these items listed rather than meet them later.

Step three: confirm and fine-tune

Once you accept, the booking is confirmed with the operator. Before the day you receive the pickup time and place, and nearer departure the driver's details. Changes to numbers or stops are welcome; tell us early so the operator can confirm they still fit the vehicle and the timetable.

Step four: the day itself

Your driver meets you at the agreed spot. In historic centres the vehicle uses designated set-down points, so expect a short walk to the sights. Long days follow the EU limits on driving time, including a pause of at least 45 minutes once the driver has done four and a half hours. Put a lunch stop there and the pause looks after itself.

How far ahead should we book?

For spring and summer weekends, weddings and big festival dates, as early as you can. Last-minute trips are sometimes possible too, so ask anyway.

Is there room for a change of plan on the day?

Often, if the driving hours and the city rules allow. Ask before you go, because some stops need a permit booked in advance.

Will the driver wait right outside each sight?

Not always. In many towns the vehicle sets you down and then waits in a designated bus park. In Siena, for example, the only waiting area is Il Fagiolone, outside the centre.
